- Technical data — basic information your browser sends when you visit our website, such as your IP address and the pages you view, used to keep the site working and secure.
- Identity verification — when you collect a hire, we check the main hirer's photographic ID and record the ID number, to confirm identity and help protect our equipment.
How we use your information
We use your personal data to:
- Take and manage your booking, and deliver the equipment and service you've booked.
- Take payment and, where relevant, process refunds.
- Send you booking confirmations, safety information and details you need for your session.
- Respond to your enquiries and provide customer support.
- Meet our legal and accounting obligations.
- Keep our website and booking system secure and working properly.
Our legal basis
We rely on the following legal bases under the UK GDPR:
- Contract — to take and fulfil your booking and provide the service you've asked for.
- Legal obligation — to keep records we're required to keep, for example for tax and accounting.
- Legitimate interests — to run and secure our business, verify the identity of hirers, respond to enquiries, and prevent fraud, in a way that doesn't override your rights.
- Consent — where we ask for it, for example for any optional marketing. You can withdraw consent at any time.
Booking channels
You can book a GoKayak hire through our own website (go-kayak.co.uk) or through one of our booking partners. Where you book through a partner, the booking details needed to fulfil your hire are shared with us so we can provide the service. Each organisation is responsible for the personal data it holds, and a partner's own handling of your data is governed by their privacy policy.
Payments
Online payments are processed securely by our payment provider, Stripe. When you pay, your card details are handled directly by Stripe under their own privacy terms — we don't see or store your full card number. You can read Stripe's privacy policy on their website.
How your data is stored
Our booking and customer records are held within our business software platform, Odoo, which stores data securely on our behalf. We take appropriate technical and organisational measures to protect your personal data against loss, misuse or unauthorised access.
Who we share it with
We don't sell your personal data. We share it only where necessary to run our service, including with:
- Our payment provider (Stripe), to process payments.
- Our software platform (Odoo), which hosts our booking and customer records.
- Our booking partners, where you book through one of them.
- Professional advisers (such as our accountant) and authorities, where we're legally required to.
How long we keep it
We keep your personal data only as long as necessary for the purposes above. Booking and payment records are typically kept for 5 years to meet our accounting and legal obligations, after which they're securely deleted or anonymised. Identity verification details (the hirer's ID number) are kept for 90 days after the hire and then securely deleted. Enquiry correspondence is kept only as long as needed to deal with your query and any follow-up.
Your rights
Under UK data protection law you have the right to:
- Ask for a copy of the personal data we hold about you.
- Ask us to correct inaccurate or incomplete data.
- Ask us to delete your data, where there's no overriding reason to keep it.
- Object to, or ask us to restrict, certain processing.
- Withdraw consent where we rely on it.
